Position:                     Finance Administrative Assistant, Exceptional Programs Office

 

Supervisor:                Director of Exceptional Programs

 

General Job Description:  Maintain all budgets related to Exceptional Programs.  Enter all Purchase orders and reconcile accounts.

Additional Duties and Responsibilities:

  • Handle all purchasing from initial request to closing out purchase
  • Maintain budget accounts
  • Assist with completion of the IDEA grant application
  • Encumber money for purchases, travel, training through end of year
  • Estimate salaries and benefits through end of year and keep payroll line items balanced
  • Complete BARS and or transfers as needed
  • Order and maintain all office supplies and materials needed for EPO
  • Order Supplies and materials for special ed. teachers and Life Skills classes with funds allowed them in IDEA budget
  • Answer incoming calls and direct them to the appropriate staff member
  • Greet incoming visitors and staff, assist if applicable or direct them to the proper place or person
  • Handle Conference registrations, travel and hotel registration, etc….
  • Check out Bank of America cards to staff for travel and or supplies
  • Maintain Staff Professional Leave, Professional Development Matrix and travel reimbursement
  • Distribute incoming mail to appropriate staff. Any mail marked confidential is not to be opened and given to the recipient
  • Follow district policies and administrative rules and regulations
  • Engage in self-development
  • Meet deadlines on reports/projects
  • Maintain records/documentation required by department
  • Work with staff when office machines are not working, enter Help Desk information or call repairmen

 

Qualifications:  High School Diploma or GED.  Experience as a secretary or office assistant, knowledge of basic office procedures, knowledge and skills of computer function and operation, proficient in Microsoft Excel and Word, typing, accounting, phone systems and other related secretarial skills, and effective interpersonal relationships with public and staff.

 

Physical Requirements:  Ability to perform the job and access the environment for which you are hired.  The following may be required:  Sitting, standing, lifting, moving about the room or school, climbing stairs, carrying (up to 50 pounds), reaching, squatting, kneeling, prolonged typing, physical ability to type on a keyboard terminal, and moving light furniture.

 

Equipment/Technology Handled:  Computer, calculator, copy machine, phone system and other office technology.

 

Work Environment:  Must be able to work within various degrees of noise, temperature, and air quality.  Interruptions of work are routine.  Flexibility and patience are required.  Must be self-motivated and able to complete job assignment without direct supervision.  After hour work may be required.

 

Terms of Employment:  Salary and work calendar established yearly by school board.
